Challenge
Morgan Engineering needed a way to accurately track employee work hours by project and integrate this data directly into their payroll and invoicing systems. Their existing process involved multiple manual steps, which led to inefficiencies, delays in payroll, and difficulties in tracking project-specific labour costs.
Our Solution
We developed a custom integration between Xero, the client’s accounting platform, and TimeDock, an employee time-tracking system. The solution included:
Automated Data Sync – Hourly synchronisation of employee and invoice data from Xero to TimeDock, ensuring up-to-date records.
QR Code Time Tracking – Personalised employee ID badges with QR codes for clocking in/out, plus project-specific QR codes to track time spent on each task or invoice.
Bidirectional Integration – Employee work hours sent from TimeDock to Xero’s Payroll-Timesheets, and project hours recorded against corresponding Xero invoices.
Expense Tracking – Each project’s time costs automatically itemised on invoices for accurate billing.
Implementation Support – Setup of TimeDock mobile app on employee devices and configuration of the server environment.
Results
The integration eliminated manual data entry, reduced payroll processing time, and provided precise visibility into project-level labour costs. Morgan Engineering can now generate accurate invoices, track productivity in real time, and streamline payroll — all from a single, automated workflow.
